Managing survey responses
Accessing survey responses
After sharing your availability survey, performers will submit their applications. You can review these responses in several ways.
View all responses
Navigate to Surveys in the main navigation
Click on your survey from the list
Select the Responses tab
All submissions appear here with performer details
View responses per show
Navigate to Shows
Open a specific show
Go to the Spots tab
Look for Available Acts in the sidebar or top section
This shows only performers who indicated availability for this show
The per-show view highlights applicants who are available for that specific date, making it faster to fill spots.
Reviewing applicant details
Each survey response includes the information you requested in your survey fields:
Performer name
Contact information
Headshot (if requested)
Video link (if requested)
Available dates
Any custom fields you added
Watching performer videos
If you included a video link field in your survey:
Open the response in the Responses tab
Look for the video link (usually YouTube)
Videos appear embedded directly in the response
Watch the video without leaving Confirmed
After reviewing, you can mark the response as "Reviewed"
Embedded videos let you quickly review multiple acts' material without juggling browser tabs.
Organizing responses
Mark responses as reviewed
After watching a video or reviewing details, find the status option
Move the response to Reviewed
This helps you track which applicants you've already evaluated
Prioritize applicants
In the show's Spots tab, applicants appear in priority order:
Available Acts appear at the top of the spots list
Acts who applied via survey are highlighted or badged
You can drag these prioritized applicants directly to spots
Filling spots from responses
Drag and drop method
Navigate to a show's Spots tab
Find the Available Acts section
Drag a performer's name onto an empty spot
The spot status changes to "Planning"
Direct assignment from responses
In the survey Responses tab, select a performer
Click Fill spot or similar action
Choose which show and spot to assign them to
The performer is added to that show
Using the sidebar for quick filling
The Available Acts sidebar provides quick access to applicants:
Open a show's Spots tab
Filter by specific spot type at the top of sidebar (opener, middle, headliner, etc.)
See which people applied for that spot
Scroll down to see acts who applied for other spots in this show
Below applicants, all acts in your database appear
Use Search by Name to quickly find specific performers
The sidebar shows acts who applied for other spots in the same show. This is handy if you've changed spot characteristics (length, role) after sending the survey but the performer would still be compatible.

Filtering and searching responses
Filter by show type
If you created your survey with show type filters:
Only performers interested in that show type appear
Use the survey filter settings to narrow results by city or show type
Search for specific performers
In the Responses tab, use the search field
Type the performer's name
Their response appears immediately
Sharing survey links for more responses
If you need more applicants:
Navigate to Surveys
Find your survey
Click the ellipsis menu (⋯) or similar share option
Copy the survey link
Share via email, social media, or messaging apps
Email survey links
Copy the survey link from Confirmed
Open your email client (e.g., Gmail)
Compose a message to your act list
Use BCC to keep recipients private
Paste the survey link
Send
Always use BCC when emailing large groups of performers to protect their privacy and avoid reply-all chaos.
Managing responses after booking
What happens when you fill a spot
After assigning a performer from survey responses to a spot:
The spot changes to "Planning" status
The performer doesn't receive a notification yet
You can still make changes before sending an offer
Once you send an offer, the status changes to "Offered"

Updating performer profiles
When a performer submits a survey with a headshot:
Their contact profile automatically updates
The new headshot appears in your contacts list
You don't need to manually update their information
Archiving surveys
After you've filled all spots and don't need active responses anymore:
Navigate to Surveys
Find the completed survey
Select Archive or similar option
The survey moves out of your active list
Responses are still accessible if needed later
Archiving surveys declutters your workspace without deleting data. Your shows and bookings remain intact.
Deleting surveys
To permanently remove a survey:
Navigate to Surveys
Select the survey to delete
Click Delete
Confirm deletion when prompted
Deleting a survey removes all responses. Only delete surveys created by mistake or no longer needed. Archive instead if you want to preserve data.
Best practices for managing responses
Keep surveys simple
Request only essential information
Fewer required fields = higher response rates
You can always ask for more details later
Review regularly
Check responses daily during active booking periods
Mark responses as reviewed to track your progress
Watch videos promptly to make timely offers
Communicate with applicants
Send offers quickly to acts you want to book
Don't leave performers waiting for weeks
If you reject an applicant, consider a brief message
