Bulk operations for shows and spots

When to use bulk operations

Bulk operations save significant time when you're managing:

  • Festival runs with multiple shows on different dates

  • Weekly recurring shows with the same configuration

  • Fee adjustments across an entire series

  • Assigning regular performers (like hosts) to many shows at once

  • Updating spots or roles across multiple shows

Selecting multiple shows

Select all shows

  1. Navigate to Shows

  2. Use the checkbox at the top of the shows list

  3. This selects all visible shows

  4. The interface shows "X shows selected"

Select specific shows

  1. Navigate to Shows

  2. Use individual checkboxes next to each show

  3. Select only the shows you want to edit

Filter before selecting

  1. Use the left sidebar to filter by show type (e.g., "Cheeky Monkeys")

  2. Or filter by date range or venue

  3. Then select all filtered results

  4. This lets you bulk edit just one type of show

Filter first, then select all. This prevents accidentally editing unrelated shows.

Bulk editing show details

Edit multiple shows at once

  1. Select the shows you want to edit (see above)

  2. Click Edit X shows

  3. A bulk edit modal opens

  4. Change any field: venue, time, or show settings

  5. Click Save

  6. All selected shows update simultaneously

What you can bulk edit

  • Show times and dates

  • Venues

  • House open times

  • Time between acts

Bulk editing spots

Edit spots across multiple shows

  1. Select multiple shows (checkbox method)

  2. Navigate to the Spots view for the selection

  3. Select the spots you want to edit (by role, position, or individually)

  4. Click Edit X spots

  5. Make changes to:

    • Fees

    • Spot lengths

    • Roles (Host, Act, Production)

    • Call times

    • Custom role names (Opener, Closer, etc.)

  6. Save changes

This is perfect for festivals where you need to increase all fees by $5 or adjust call times across dozens of shows.

Add spots to multiple shows

  1. Select the shows that need additional spots

  2. Open the Spots view

  3. Use the ellipsis menu (⋯)

  4. Select Add new spot

  5. Configure the spot details (role, length, fee, call time)

  6. The spot is added to all selected shows

Delete spots from multiple shows

  1. Select the shows

  2. Navigate to Spots

  3. Select the spots you want to remove (e.g., all "Production" spots)

  4. Use the ellipsis menu (⋯) or delete option

  5. Confirm deletion

  6. Spots are removed from all selected shows

Only delete unfilled spots in bulk. If any spot is already booked, handle those individually to avoid accidentally removing confirmed performers.

Bulk assigning performers

Assign a fixed performer to multiple shows

Use this when you have a regular host or recurring act:

  1. Navigate to Shows

  2. Filter or select the shows where this performer will appear

  3. Select all relevant shows (e.g., all "Cheeky Monkeys" dates)

  4. Navigate to Spots for the selection

  5. Find the spot type you want to fill (e.g., all "Host" spots)

  6. Assign the performer (e.g., Terry North) to that role

  7. The performer is added to the same spot across all selected shows

This feature is perfect for booking a host across an entire festival run in seconds.

Example: Assigning a closing act

  1. Select all Perth Fringeworld shows

  2. Navigate to Spots

  3. Filter to "Closer" role

  4. Assign Terry North to all Closer spots

  5. Terry is now confirmed for the closing spot in every show

Bulk sending offers

After filling spots across multiple shows, you can send offers to performers in bulk:

  1. Select the shows with spots in "Planning" status

  2. Navigate to the Offers or Spots section

  3. Select the performers who need offers

  4. Click Send offers or Batch send

  5. Customize the email message (optional)

  6. Send

  7. All selected performers receive their offers simultaneously

Bulk changing spot statuses

You can update spot statuses across multiple shows:

  1. Select shows

  2. Navigate to Spots

  3. Select spots by status, performer, or role

  4. Change status in bulk:

    • Planning → Offered (when sending offers)

    • Offered → Confirmed (if manually confirming)

    • Any status → Rejected (if canceling multiple bookings)

Status changes via bulk operations work best for internal planning. Use the offer system for changes that require performer notification.

Using filters for precise bulk edits

Filter by show type

  1. In the left sidebar, select a specific show type (e.g., "Aussies vs Poms")

  2. Only shows of that type appear

  3. Select all and make changes

  4. Other show types remain untouched

Filter by date range

  1. Use date filters to show only upcoming shows or specific months

  2. Select all shows in that range

  3. Make bulk edits (e.g., update fees for the new year)

Filter by venue

  1. Filter to shows at a specific venue (e.g., Williams room)

  2. Select all

  3. Make venue-specific changes (e.g., adjust house open time for that venue's policy)

Best practices for bulk operations

Always filter first

  • Narrow your selection before using "select all"

  • This prevents accidentally editing the wrong shows

  • Double-check the "X shows selected" count before saving

Start small

  • Test bulk edits on 2-3 shows first

  • Verify the changes worked as expected

  • Then apply to the full selection

Use bulk for templates, not exceptions

  • Bulk operations work best for consistent changes

  • If individual shows need unique settings, edit them separately

  • Don't force bulk edits when manual edits are clearer

Communicate with performers

  • If you're changing fees or times in bulk, notify booked performers

  • Bulk edits don't automatically send notifications

  • Use the offer system or email to inform performers of changes

Keep a spreadsheet or document with your show dates and venues when planning bulk operations. Cross-reference before applying changes to ensure accuracy.

Undoing bulk changes

There's no automatic undo for bulk operations. If you make a mistake:

  1. Immediately select the same shows again

  2. Manually revert the changes (e.g., change fees back to original amount)

  3. Or edit individual shows if only some were affected

Always double-check your selection and settings before confirming bulk edits. It's faster to verify than to manually undo mistakes across dozens of shows.
