Inviting team members

Add teammates to your production and assign roles based on what they need to access. Each plan includes a specific number of team member seats.

How to invite a team member

  1. Navigate to Team in the left sidebar under Settings

  2. Click Invite User

  3. Enter the team member's email address

  4. Select their role (defaults to Full Access)

  5. Send the invitation

They'll receive an email invitation with instructions to join your production.

If the invitation doesn't arrive within a few minutes, ask your team member to check their spam folder.

Team member roles

Choose a role based on what the team member needs to do. Each role controls what they can see and edit.

Full Access (Owner/Admin)

Full access to everything in your production, including:

  • All shows, acts, and venues

  • Production settings

  • Team management (add/remove members)

  • Billing and subscription

  • All fees and production notes

Crew

Access to almost everything except the most critical settings. Crew members can:

  • Edit shows, acts, and venues

  • Create new shows

  • Create new surveys

  • Extend offers

Crew members cannot:

  • Edit production settings

  • Add or remove team members

Co-Producer

Similar capabilities to Crew, but only for specific shows where they've been assigned as a production contact. Co-Producers can:

  • Edit shows they are production contact of

  • See fees for their assigned shows

  • Manage bookings and applications for their shows

Co-Producers cannot:

  • Access shows they're not assigned to

  • Edit acts, venues, or other production-wide settings

Make sure you add Co-Producers as production contacts for the shows that they will be managing, as they will not see any other shows in your production

To assign a Co-Producer to shows, you can:

  • Add them on the Show tab for an individual show, or

  • Select multiple shows, click Edit Shows, and add them as a production contact in bulk

Co-Producers need to navigate to your production URL (e.g., https://confirmed.show/yourproduction) rather than https://confirmed.show/me/shows to see their shows.

Showrunner

Ideal for someone running the show on the day who needs access to act information and lineups, but shouldn't see financial details. Showrunners can:

  • See all shows

  • Edit show lineups and running order

  • See participant contact details and message participants

  • Upload walk-on music

  • Make last-minute changes on show day

Showrunners cannot:

  • See or edit fees

  • See production notes

  • See act applications to spots

  • Edit production settings

Promoter (Marketer)

Best for marketing team members who need act information and media but shouldn't access booking details. Promoters can:

  • See all shows in the production

  • Download act media (headshots, graphics)

  • Access act bio information

Promoters cannot:

  • Edit anything

  • See fees or production notes

  • See act applications to spots

  • Access personal act information (phone numbers, email addresses)

Choosing the right role

If you need someone to manage shows but want to hide fees entirely, use the Showrunner role. They can handle lineups and day-of-show operations without seeing financial information.

If fee visibility isn't a concern and you want someone to manage bookings and applications for specific shows, use Co-Producer. Note that Co-Producers can see fees for their assigned shows because applications are often fee-specific.

All fee changes made by any team member are logged in the Changes tab and can be reviewed or reverted by Crew or account owners at any time.
