How to Send Offers to Acts

Overview

Once you've planned your shows and filled the spots, you're ready to send offers to acts. This guide shows you how to extend offers via email or generate shareable links for messaging apps.

Check Pending Offers

You can see how many people have pending offers in the status badge next to the Offers section in your left navigation. This badge shows the total number of acts waiting for offers.

Viewing Offers: Two Grouping Options

When you click into the Offers section, you can view offers in two ways:

  • Group by show (default) - See all offers organized by performance date

  • Group by person - See all offers organized by individual act

Both groupings work largely the same, with one key difference explained below.

Sending Offers via Email (Batch Method)

This is the fastest way to send multiple offers at once:

  1. In the Offers section, use the checkboxes to select the shows or people you want to send offers to

  2. Click Send Offers

  3. Review the details in the confirmation modal:

    • Date

    • Act name

    • Show

    • Spot length

    • Role (e.g., Opener, Middle, Headliner)

    • Call time

    • Fee

  4. Add a generalized message in the rich text editor. For example: "Hello, thank you for applying for the spots. Hope you can make it to these shows - reject the ones that don't work otherwise."

  5. Click Send Offers to confirm

Review all offer details carefully before sending. Once sent, acts will receive these details via email and can accept or reject individual spots.

If you communicate with acts over WhatsApp, Instagram, or other messaging apps, you can generate unique offer links:

  1. Switch to Group by person view

  2. Click on a specific person's name

  3. In the modal that appears, you can edit offer details:

    • Date & Time

    • Role

    • Spot

    • Call time

    • Fee

  4. Under Delivery, select Generate Link (instead of Email)

  5. A unique link will be generated

  6. Click Copy to clipboard

  7. Paste the link into your messaging app

The act can click the link to review and respond to the offer directly, without needing email access.

Each generated link is unique to that specific offer. Links allow acts to accept or reject offers just like they would via email.

Tracking Offer Status

After sending offers, the status changes automatically:

  1. Navigate to the Shows section

  2. Look at the spot status indicators - they should now show Offered

  3. Once acts respond, the status will update to:

    • Confirmed - Act accepted the spot

    • Rejected - Act declined the spot

    • Vacated - Spot was removed or changed

Offer Workflow Summary

Here's the complete flow from planning to confirmation:

  1. Planning - Fill spots with acts (no communication sent yet)

  2. Offered - Send offers via email or link

  3. Confirmed/Rejected - Acts respond to offers

Acts won't receive any communication while spots are in "Planning" status. You must explicitly send offers for them to be notified.

Best Practices

  • Review before sending - Double-check roles, call times, and fees in the confirmation modal

  • Use links for chat apps - If you primarily communicate via WhatsApp or Instagram, generate links instead of relying on email

  • Add context in messages - Use the generalized message field to provide additional instructions or context

  • Batch similar offers - Select multiple shows at once to save time when details are consistent

What Happens Next

After sending offers, acts will receive notifications with all the details. They can accept or reject each spot individually. You'll see status updates in real-time in the Shows section.
